Less chasing clients for paperwork, more time to advise.
At an accounting firm, much of the work is collecting, sorting and recording information that arrives late and through ten different channels. Automating that loop is one of the highest-return moves, especially before each quarter-end.
Talk about your caseIn short
For accounting firms and gestorías (Spain’s administrative and tax advisory offices), automation and AI are mainly useful for collecting and sorting client paperwork, reading invoices and receipts and entering them in the accounting software, answering frequent questions and sending deadline reminders. The adviser keeps the review and the client relationship; the system handles the repetitive work.
What we automate at an accounting firm
Collecting paperwork
A single channel (email, portal or WhatsApp) where clients send invoices and receipts, which are sorted automatically by client and period.
Reading invoices
Data extracted from invoices and receipts with AI, checked, with a suggested journal entry for your accounting software.
Deadline reminders
Each client is told what’s still missing before every deadline, with tracking of who has replied.
Frequent questions
An assistant that answers your clients’ recurring questions with your own explanations and routes everything else.
Client reports
Regular status summaries prepared from your data, ready to review and send.
New client onboarding
A new client set up in all your tools, with the required paperwork requested automatically.
Ready for Verifactu and e-invoicing
The changes to invoicing (Verifactu, Spain’s new invoicing-software rules, and mandatory business-to-business e-invoicing) will multiply the structured data flowing between your clients and you. It’s a good time to design automated workflows instead of adding more manual work. Our guide to automating invoices covers the known dates and what is still pending.
How we do it
We start from your accounting software and the way you work: we don’t ask you to switch tools. We begin with a single workflow, usually collecting paperwork or reading invoices, with a test group of clients, and measure the hours saved before extending it.
How we work with you
- 1
We listen
A first conversation, with no commitment, to understand the problem the way your team actually lives it. The fix is often simpler than it looks, and if so, we’ll tell you.
- 2
We propose
Fixed scope, timeline and price, in writing, before we start. We look for what makes sense for both sides: no open-ended hours and no surprises on the invoice.
- 3
We build
Short delivery cycles: you see real progress every week and test it on your own cases, not on a staged demo.
- 4
We stay
Maintenance, adjustments and direct support from the same person who built it. Everything is documented and in your name.
Frequently asked questions
Which tasks at a gestoría can be automated?
Collecting and sorting paperwork, reading invoices and receipts, deadline reminders to clients, answers to frequent questions and preparing regular reports. The review, the tax judgement and the client relationship stay with the adviser.
Does it work with my accounting software?
We work around what you already use. Many packages allow data imports or have integrations; where they don’t, we prepare files in the format they accept. Before we start, we check what is reliable with your specific tool.
Does AI read invoices accurately?
Current models extract data from legible invoices and receipts with good accuracy, but they aren’t infallible. That’s why the workflow checks the amounts, flags anything doubtful and leaves final confirmation to a person.
Is it safe to send my clients’ paperwork to an AI?
It is if it’s done with providers that sign a data processing agreement and exclude the data from training, with restricted access and usage logs. We design every workflow to comply with the GDPR and hand you the documentation.
